Business Suite on the Show Floor
Request Deadline: 8/24/07 Fee: $1,500 -$4,500; CME: No Signage: Yes* Mailing List: Yes
Payment: Check, American Express, Mastercard, Visa and must be received before request is processed.

Special rental packages have been developed to make it easier for you to order and customize meeting space in the exhibit hall by using Business Suites: custom-built rooms for rental on the exhibit floor (15’ x 15’).

Four suites are available for rental in half day, full day, and three day increments. Suites are available for rental Monday, Tuesday, and Wednesday, September 17-19 for a half day of each exhibit day.  These half day rentals are $1,500 for either the 10:00 a.m. – 1:00 p.m. or 2:00 p.m. to 4:30 p.m. time period on Monday, September 17 or the 10:00 a.m. – 1:00 p.m. or 2:00 p.m. – 5 p.m. time periods available on Tuesday and Wednesday, September 18-19. These suites may also be rented for only one exhibit day for $2,500 or all three days, available during exhibit hours, for $4,500.

Staff Meetings
CME: No; Signage: No; Mailing List: No

In a Business Suite (fee included in business suite)
Staff meetings for an exhibiting company’s staff may be conducted from 8:30 a.m. to 5:30 p.m. in a show floor business suite. Meetings may be Board, training, or business meetings.

Outside a Business Suite
Staff meetings may also be conducted in hotels, restaurants, etc. Time periods designated on the Schedule-At-A-Glance apply.

Focus Group
Fee: None; CME: No; Signage: Yes; Mailing List: No

Focus Groups gather qualitative market research from a group of no more than 30 participants of common demographics, attitudes, or purchase or prescribing patterns, who are led through a discussion of a particular topic by a trained moderator.

Hospitality Event
Fee: None; CME: No; Signage: Yes; Mailing List: Yes

Hospitality events are strictly social activities and may not contain product demonstrations, scientific presentations, or educational programs.

Group Business Services
Fee: $500; CME: No; Signage: Yes; Mailing List: No

Payment must be received by ASM before application is processed (check, American Express, Mastercard, Visa). ASM provides a complimentary business office for companies that have a large number of staff, international , and national delegates.

Promotional Event
Fee: $5000; CME: No; Signage: Yes; Mailing List: Yes

Payment must be received by ASM before application is processed (check, American Express, Mastercard, Visa). Promotional events include product launches, short product demonstrations, educational, or poster presentations. Poster presentations must be 30 minutes or less of non-didactic education and can include a social or hospitality segment.

Function Space
All requests for space in an official ICAAC hotel must be made through ASM and be included in the application. Space assignment is based on the information provided in the application. A letter will be sent to the hotel authorizing space release upon meeting approval. The hotel will finalize the meeting requirements directly with the organizer. ASM accepts no financial or organizational responsibility for the meeting. Room rental, catering, equipment, or other charges are the sole responsibility of the organizer. Events being held at locations other than in official ICAAC hotels must also be submitted to ASM. Affiliated Event space assignments will begin on June 16.

Marketing and Promotion
ASM has created marketing opportunities for its exhibitors so they may promote their presence at ICAAC, generate booth traffic, and increase their corporate or brand visibility. To avoid over-commercialization, ASM and the ICAAC Program Committee have determined what is appropriate for industry marketing at ICAAC. Public announcements (street banners, airport signage, newspaper or vehicle advertisements, etc.) referring to ICAAC are permitted only after review and approval by

ASM, and may include an administration fee. The unapproved use of any marketing method is strictly prohibited.

Mailing Lists
Request Deadline: 08/24/07; Fee: variable

Only 47th ICAAC exhibitors may rent the ICAAC attendee registration mailing lists. Specific procedures apply:

1. Send a sample copy of the actual mail piece for approval to ASM no later than Friday, August 24, 2007. ASM approval takes a minimum of two weeks, so send your request early.

2. Send the completed Label Order Form (provided in Service Kit),accompanied by full payment, directly to ExpoExchange for list fulfillment.

3. After the review process, ASM will forward the disposition to the exhibiting company (via U.S. Mail) and to ExpoExchange.

4. Mailing lists are available for one-time use only by the requestor and cannot be reproduced, reused in any form, or resold to another user.

List specifications and prices: lists include the name, address, city, state, postal code, and country (telephone, fax numbers, and e-mail addresses are not provided).Three lists are available: the 2006 ICAAC total registered attendees for $325; the 2007 pre-registered attendees for $375 (available beginning July 28); and the 2007 total registered attendees for $450 (available beginning October 12). Lists are available in four formats: 4-up Cheshire; 4-up pressure sensitive labels; diskette (ASCII comma delimited); and in an electronic file via email (ASCII comma delimited). Approved orders are shipped within the U.S. via UPS 2nd-day service. Shipping charges for international orders are at the exhibitor’s expense. An additional fee will be added for rush orders (shipped with-in three days of receiving the order).

Approval and Delivery: exhibitors should submit mailing list requests as early as possible. A minimum of two weeks is required for ASM’s approval process (immediate approval is not granted). Content: approval will only be granted for written materials of a scientific nature. Copy should not contain any reference to specific posters or sessions (ASM does not permit exhibitors to market ASM’s scientific pro-gram). If the piece refers to an event or is an invitation to an event, its approval will come after the event is approved. ASM verifies the content of each marketing piece and reserves the right to deny any request received after the Friday, August 24 deadline, for content or submission, or for any use that ASM deems to be incompatible with the purposes and activities of the Society.

Door Drops
Request Deadline: 8/24/07 Fee: Variable

Exhibitors that want to conduct a door drop must submit a request to and receive approval from ASM Exhibits Management. ASM has contracted with Convention Communications to be the exclusive provider of door drop services. Convention Communications will coordinate logistics, deliver your materials to each hotel, and be on-site to ensure that your literature is distributed on schedule. A minimum of two weeks is required for the approval process (please do not ask for immediate approval). A sample copy of the actual piece must be submitted to Carrie Morin, cmorin@asmusa.org, no later than Friday, August 24. Approval will only be granted for written material of a scientific nature that refers to an approved event, or is an invitation. Copy should not contain any reference to specific posters or sessions (ASM does not permit exhibitors to market ASM’s scientific program). ASM verifies the content of each marketing piece and reserves the right to deny any request for content or submission after the Friday, August 24 deadline. If the door drop refers to an event or is an invitation to an event, its approval will come after the event is approved and only if a copy of the invitation is submitted with the request.

ASM will provide the contracted exhibiting company and Convention Communications with written notification of approval.

Signs
Request Deadline: 8/24/07 Fee: None

Signs, banners, posters, or flyers advertising a company sponsored booth activity, symposium, or any other event or activity may not be posted or displayed at any location inside or outside of the convention center other than in the exhibitor’s booth. If the event is in a hotel, directional signs are permitted on the day of the event based on the hotel’s regulations.
