Americans with Disabilities Act

Persons requiring special services at the convention center (wheelchair-accessible transportation, dietary restrictions , etc.) are asked to stop by ASM Headquarters. Since requests were due as part of the registration process, on-site requests will be fulfilled based on availability.

Registration Badges

Badges must be picked up at Registration in the Walter E. Washington Convention Center. Photo ID is required. For security reasons, all attendees are required to wear their badge for entry into session rooms. Please note that badges are the property of ASM and must be relinquished at any time at the discretion of ASM staff. Badge Policies

Business Center

The Business Center in the Grand Lobby, offers numerous services, including shipping and receiving for packages (under 150 lbs), notary services, faxing, copying & printing as well as computer and internet stations

Cameras and Recording

Audio/video recorders, cameras, and phone/tablet photography are not allowed in session rooms or in the exhibit and poster areas.

Certificate of Attendance

A Certificate of Attendance will be available beginning Friday, September 5 at all registration counters.

Child Safety

Children are not permitted entry into session rooms. Also, children under the age of 18 are not permitted on the Exhibit Hall floor during setup or dismantling hours. During scheduled show hours, exceptions are made when parents or guardians complete and sign a Minor Release Form. This form is available in the ASM Information Booth in the Atrium and in the ASM Headquarters Office in Meeting Room 140A. Strollers are not allowed in the Exhibit Hall and may be checked at the coat and baggage check.

Childcare Services

Tots on the Spot will provide childcare during the meeting.  Tots on the Spot is a fully insured small business.  They carefully select the children’s activities, taking into consideration their ages, genders, and abilities, with safety and fun in mind.  The children’s room is fully childproofed prior to the start of the event.  The caregiver–to-child ratio is equal to the national standards for childcare.  They follow proven security procedures during all events.  Tots on the Spot caregivers are all mature adults that have worked with children for many years in the fields of teaching, mentoring, caregiving, or parenting.  They are fingerprinted and background checked, reference checked and are current on their CPR and First Aid Certifications.  All caregivers follow appropriate health and safety guidelines.

A coat and baggage check will be available at the Convention Center.

Exhibit Hall

The Exhibit Hall is open:

  • Saturday, September 6 | 11:45 a.m. - 4:30 p.m. 
  • Sunday, September 7 | 10:30 a.m. - 3:00 p.m. 
  • Monday, September 8 | 10:30 a.m. - 3:00 p.m. 

 

Final Program and Abstracts

All registrants receive the Final Program, access to abstracts, and Meeting & Exhibit Guide as part of the registration fee.

First Aid

A First Aid Station will be staffed at the Walter E. Washington Convention Center during meeting hours. If you feel ill or need a place to lie down, go to the First Aid Station. In case of a medical emergency in the Walter E. Washington Convention Center, please dial 3333 from any white house phone or 202-249-3333  from your mobile phone.

Food and Beverage

Full service food stands will be available Friday–Tuesday, throughout the Walter E. Washington Convention Center and in the Exhibit Hall.

Future Meetings Booth

A Future Meetings Booth area for posting notices highlighting future meetings will be designated. Announcements displayed elsewhere will be discarded.

Information Booth

The ICAAC 2014 Information Booth will be available to offer attendees:

  • Meeting Information
  • Approved Affiliated Events
  • Program Changes and Updates
  • Minor Release Forms for Exhibit Hall Entrance
  • DC Information

There will also be an information desk in the L Street South Lobby staffed with experts from DC who will be able to assist you with restaurant reservations and activities while in DC.

Lost and Found

Unattended personal belongings will be removed and taken to the ASM Headquarters Office.  Anything remaining in headquarters at the end of the meeting on September 9, will be turned in to the Convention Center.

Messages

Mail and other forms of communication can be directed to the individual at the hotel where he or she is registered.

Nursing Room

A Nursing Room will be available for use during ICAAC 2014. Please visit Headquarters in Meeting Room 140A for additional information.

Parking

The Walter E. Washington Convention Center encourages the use of public transit and the ASM Shuttle Busses first. However, parking facilities do exist close to the convention center. Poster Information/Call4Posters

The Call4Posters™ Booth will be located inside the Poster Hall.

Program Changes

Daily updates and changes to the Final Program will be highlighted in the addendum included in the registration bag as well as on the event app and the walk-in slides of each session room at the beginning of the session.

Sessions and Room Capacity

All scientific sessions will be held at the Walter E. Washington Convention Center. A map of the Convention Center will be available in the Meeting & Exhibit Guide and in the Final Program. The ICAAC Program Committee attempts to determine the popularity and estimated attendance level for each session. Please accept our apologies in advance should the demand exceed the number of seats in a particular session. For safety reasons, ASM must adhere to all room capacity regulations prescribed by the Walter E. Washington Convention Center and the Fire Marshall. Attendance is on a first-come, first-served basis. ASM requests that attendees use every available seat before resorting to standing. Sitting in aisles is a hazard, and ASM requests that you not do so.

Shipping

Mail and other packages should be shipped to your hotel. Personal mail and packages will not be accepted at the Walter E. Washington Convention Center. If you need to have a package shipped from DC, please visit your hotel’s business center or the Business Center in the convention center.

Shuttle Service

Shuttle Service will be provided to select hotels; please check the Registration/Travel tab for details.  

Smoking Policy

The Walter E. Washington Convention Center prohibits smoking inside the building and anywhere within 25 feet of doors or air intakes.

Speaker Ready Room

Speakers may preview their presentation in the Speaker Ready Room of the Convention Center. ASM requests that speakers submit their electronic presentation files to the AV operator in the Speaker Ready Room at least four hours prior to their presentation time.
