Slide Session Presenter Guidelines
Registration, Housing, and Travel
Slide Session Presenters must register for the meeting, as well as make their own hotel and air travel arrangements.
Awards and Travel Grants
ICAAC offers various awards and travel grants for students, post-docs, and fellows to help defray costs to attend ICAAC.

Oral papers are scheduled with 10 minutes of a slide (PowerPoint) presentation followed by five minutes of discussion. A computer will be available in each session room for use in presenting PowerPoint presentations. This will eliminate the need to bring a laptop computer. IT IS REQUESTED THAT ALL PRESENTERS USE POWER POINT TO PREPARE THEIR PRESENTATIONS. All session rooms will be networked onto a server, which will project all PowerPoint presentations onto the screen located in the room.
AV Information, Advance Submission
A submission site is available for speakers to submit their presentation in advance of the meeting. The presentation will be tested by Freeman AV, the audio-visual provider, to make certain there are no compatibility issues. This will minimize any disruption during your presentation at the meeting. To submit your presentation prior to your arrival in Washington, DC, please visit https://ICAAC2014.sessionupload.com. You may upload revised versions as often as needed; however, we still recommend you visit the Speaker Ready Room (Room
154 B) PRIOR to your session to review and confirm your final presentation. You will still be required to bring a copy of your presentation to the meeting in the event that a back-up copy is needed.
All session rooms will be networked onto the server from the Speaker Ready Room. This eliminates the need for the speaker to bring a laptop computer. Speakers will control the flow of their presentation using a mouse and confidence monitor provided at the podium. Please visit your session room at least one half hour before the session begins. Any questions about the set up or available equipment, should be brought to the attention of the AV technician in the session room.
Speaker Ready Room
Speakers are requested to drop off their presentation(s) in the Speaker Ready Room (Room 154 B) at Walter E. Washington Convention Center, at least 24 HOURS in advance of the session start time. Professional audio-visual consultants will be in the Speaker Ready Room for assistance. Computers in the Speaker Ready Room are configured exactly like the ones in the meeting rooms. From the Speaker Ready Room, the presentations will be loaded onto the server and then uploaded to the session room. Operating hours are:
Friday, September 5 | 7:30 a.m.–5:00 p.m.
Saturday, September 6 | 6:00 a.m.–7:00 p.m.
Sunday, September 7 | 6:00 a.m.–5:00 p.m.
Monday, September 8 | 6:00 a.m.–5:00 p.m.
Tuesday, September 9 | 6:00 a.m.–9:30 a.m.
Please be advised that it is ASM’s policy that, while presenters are allowed to communicate with the press, their discussions may not be published until after the day and time of the actual presentation. Similarly, details of an invited presentation may not be part of an industry-sponsored symposium or other scientific event, unless scheduled after the day and time of the official ICAAC presentation. Policy is in effect until September 9, 2014.
