Benefits
In addition to the benefits noted for each specific support item, recognition will also be provided throughout the meeting by use of banners in prominent convention center locations, listing on the meeting web page and in meeting programs and other meeting publications as deemed appropriate by ASM.
Approval Process A signed Letter of Agreement (LOA) is required for all support items. ASM must approve all artwork provided by the supporter.
Regulatory and Professional Codes ASM is accredited by the Accreditation Council on Continuing Medical Education (ACCME) to provide continuing education units. ACCME regulations specify the appropriate and necessary steps ASM must take to maintain its accreditation, some of which pertains to items supported by industry.
The Pharmaceutical Research and Manufacturers of America (PhRMA) and the Advanced Medical Technology Association (AdvaMed) have developed voluntary guidelines governing industry’s marketing relationships with healthcare professionals. 50th ICAAC Unique Support Opportunity Individual support: $50,000 SOLD Mark your place in history by supporting the special commemorative book, 50 Years of ICAAC 1961-2010: Contributions in Science. Distributed inside the conference registration bags, this book will get your name and logo into the hands of thousands of scientific attendees over the course of this four day event. This anniversary book will be frequently referenced by attendees as it contains information on abstracts, session highlights, and other information relating to the 50 historic years of this conference, and will also be a permanent addition to professional collections. As an additional exclusive benefit, two representatives of the supporter(s) will be invited to attend the exclusive Historic Program Committee dinner at the Harvard Club, celebrating past chairs and their accomplishments. Supporters will also receive meeting-wide recognition on convention center banners and in ICAAC publications.
Abstracts on CD ROM Fee: $55,000 SOLD Abstracts on CD ROM provide an easily searchable compilation of all abstracts. Each meeting attendee will receive a CD ROM in their registration bag. The supporter’s corporate name and logo may be displayed on the CD ROM packaging.
Aisle Signs Fee: $25,000/sponsor PENDING Attendees can’t miss your prominent corporate or product logo on the aisle number signs throughout the Exhibit Hall. We’ll even add your booth number so that attendees can quickly locate you in the Hall. A maximum of three sponsorships are available for this opportunity. Audience Response System Fee: $35,000 This interactive technology with audience response keypads is used in highly rated sessions and is very popular with delegates, like the ID Quiz session. Other sessions are case studies and provide learning opportunities which help physicians stay up to date with the constant improvements in medicine. The supporter’s name and corporate logo is displayed on signage outside the meeting room. Badge Holders Fee: $38,000 The nylon badge holder features a penholder and a zippered pouch, sized to hold business and credit cards. Each meeting attendee will receive a badge holder with their registration materials at check-in. The supporter’s corporate name and logo may be placed on the badge holder.
Coffee Travel Mugs Fee: $20,000 A limited number of stainless steel travel mugs are available to delegates daily in the exhibit hall lounge. These collectible mugs have an outer wall, plastic liner, double wall insulation, no-slip bottom, and a slide lock lid to prevent spills. They are distributed in the exhibit hall on a first-come, first-served basis and are very popular with delegates. The ICAAC logo and the supporter’s corporate name and logo are displayed on the mugs. Convention Center Banners Fee: Variable – Contact ASM These banner advertisements will capture the attention of ICAAC attendees as they navigate the meeting (the exact locations will be finalized in March). E-Central Fee: $30,000 each (two locations) There will be multiple locations for E-Central, the ICAAC’s communication center. The E-Central stations are the only locations where meeting participants can leave and retrieve messages, locate sessions by time and topic, build a conference itinerary, view and print out a list of exhibitors and/or products, send and receive e-mail, and verify and generate a continuing education certificate for physicians and other registrants who require recertification. The supporter’s name and corporate logo may be displayed on the main screen on monitors and the E-Central banner for outside the Exhibit Hall locations. Product name and logo may be placed on locations within the Hall.
Educational Grant Fee: Supporter determines ICAAC welcomes contributions and grants of all amounts used to support the general activities of the meeting.
Encore Lounge Fee: $35,000 Located in the Exhibit Hall, this Lounge provides modern seating for delegates, along with wireless headsets to view recordings of the most popular sessions at ICAAC. This allows attendees to network and catch up on a session they might have missed. The supporter’s corporate or product logo can appear on special signage in the Lounge, as well as on the hanging sign above.
ExpoCards Fee: $12,000 SOLD Each meeting attendee receives an Expocard with their registration materials. Electronically encoded on the Expocard are the name, address, and demographic information of the individual meeting attendee. Because these cards are used for several activities, this opportunity puts the sponsor name before the attendee at several intervals throughout the meeting. It is used as an electronic business card allowing attendees to request product and/or corporate information in the exhibit hall, as well as access the program planner, product locator, and messages at E-Central. The sponsor’s corporate name and logo may be printed on the front of the cards.
Gourmet Coffee Breaks Fee: $25,000 each Promote your product with a beverage break served in the exhibit hall on the first or second day of exhibits. Supporters can select from gourmet and specialty coffees, cappuccino, espresso, and tea. The supporter’s corporate or product logos and booth number can be featured on the signs and banners in the break areas and on cups and napkins (provided by the supporter).
Hand Sanitizers Fee: $21,000 The 1 or 2 oz. pocket size bottle of waterless hand sanitizer are usually moisturized and have a convenient flip top. Hand sanitizers are effective in reducing the spread of bacteria. Delegates receive a bottle of sanitizer with their registration materials. The supporter’s corporate name and logo may be displayed on bottles. Note: produced by the supporter.
Hotel Key Cards Fee: $8,000 (add’l fees levied by hotel) SOLD Every delegate checking in to an official ICAAC hotel receives a key card for his or her hotel room. From the delegate’s arrival, throughout the meeting, and up until their departure, the supporter’s corporate message is repeatedly broadcast. The supporter will be provided with contact information for the hotel(s) they select and is responsible for all charges including additional fees levied by the hotel(s) which can be $1-3 per card. Laptop Lounge Fee: $30,000 Promote your product at the 400 sq. ft. laptop lounge in the exhibit hall. The lounge provides internet connectivity and electricity for laptops for up to 16 delegates. At the supporter’s expense, branded mouse pads and/or writing pads and pens may be provided for the tables.
Location Display Fee: $25,000/location These displays, containing large free-standing maps of the convention center or Exhibit Hall, serve to guide attendees during their experience at the convention center. Two displays will be available in the convention center and one will be placed near the Exhibit Hall entrance. The supporter’s corporate name and logo are prominently displayed on the structure.
Luggage Check Fee: $15,000 This two-day sponsorship opportunity provides recognition in designated areas near of the convention center. Before traveling home on Monday or Tuesday, attendees who have checked out of their hotel rooms may leave their baggage in a secure place and enjoy the rest of the day on the exhibit hall floor. The supporter’s corporate name and logo are included on all Luggage Check signs and promotional materials.
Magnifying Bookmark Fee: $17,000 This bookmark is a useful tool for attendees looking for information in the Final Program, Exhibit Guide, and other meeting publications. The supporter’s corporate logo can be imprinted on the bookmark, which will be placed in each meeting attendee’s registration bag.
Meeting Guide Fee: $15,000 SOLD This convenient, compact guide provides attendees with information that is essential to the navigation of the meeting. One side of the map includes a comprehensive meeting-at-a-glance schedule and a summary of the poster topics and presentation schedule. The opposite side of the map includes an easy-to-read exhibit hall floor plan and the most up-to-date listing of all exhibitors, including booth numbers. The supporter’s corporate name and logo may be placed on the back cover of the folded map.
Meeting Notebooks & Pens Fee: $25,000 These spiral-bound and lined notebooks have 50 pages for notes and will be included in each meeting delegates’ registration bag. The cover of the notebook would include the 50th ICAAC logo and supporter's company logo with booth number and a pen attached, with the company's logo. (Produced by ASM)
Post-it Notes – Final Program Fee: $50,000 Attached to the front cover of the Final Program, the Post-it dispensers allow attendees to use colorful Post-it Notes for page markers in the Final Program as they plan their time at ICAAC. Distributed to all meeting attendees, this support opportunity would allow display of the supporter’s corporate name and logo on the dispenser.
Posters 2 View Fee: $100,000 SOLD Posters 2 View allows posters to be viewed online in two ways: at and after the meeting. Delegates can visit Posters 2 View, search by author, title, and topic/key word to view specific posters. At the meeting, they can print their selections at one of three Posters 2 View pods. Each pod will have three computers and an 11” x 17” color printer. After the meeting, posters will be available online for 12 months. The Supporter’s corporate name and logo appears on the main screens of all monitors and the Posters 2 View banners.
Pocket Programs Fee: $7,000 SOLD The small one page, folding planner is easy to carry and refer to during the meeting. It includes session highlights such as the keynote session and ICAAC lecture, schedule-at-a-glance for each day, and 51st ICAAC advertisement. Supporter’s corporate logo will be printed on the front cover.
Program Planner Fee: $20,000 The program planner is available on the ICAAC web pages one month before and after the meeting and during the meeting at E-Central. Accessed by Expocard, abstracts can be selected and formulated into an electronic meeting schedule. After the meetings, the Program Planner can be used to compile and retain preferred abstracts.
Registration Bags Fee: $60,000 The most popular of all support opportunities are the official attendee registration bags which provide corporate recognition during the meeting and throughout the year. Features of the bag typically include a zippered main compartment, zippered front pocket, and side phone and water bottle pockets. Meeting attendees receive their registration bags, containing all their conference materials, at registration. Along with the ICAAC logo, the supporter’s corporate name and logo may be placed on the bag. Supporters may also include a complimentary corporate or product brochure in each meeting bag.
Shuttle Bus Wraps, Headrest Covers, Inside Ads Fee: $Variable Advertising on the shuttle buses, used by the majority of the conference attendees, is an excellent way to showcase your company to riders and the public. Bus wraps or back or side panels are available at your company’s expense and can include your company name, logo and booth number. Supporters also have the option of covered headrests and advertising on the inside of busses. ASM will have final design approval.
Wireless Internet in Convention Center Fee: $25,000 Complimentary wireless internet will be provided to attendees throughout public areas of the convention center. The supporter can be acknowledged on the internet landing page, on signage throughout the building, as well as in ICAAC publications such as the Final Program and Exhibit Guide.
