Session Definitions and Invited Faculty Protocol Symposia
Symposia
Symposia consist of two conveners and three or four faculty who present lectures on designated topics (symposia with only four speakers may conclude with a 30-minute roundtable discussion).
Interactive Symposia Faculty and/or Panelists of Interactive Symposia present studies and pose relevant questions to the audience. Using hand-held keypads, the audience responds to each question. The collective responses of the audience are displayed.
Meet-the-Experts An extensive Q & A session with audience members follows each five-minute presentation by an expert.
Coffee will be available for attendees of this session beginning at 6:30 a.m.
Invited Faculty Control Number Please reference the control number, which is located in your invitation letter, on all correspondence sent to ASM to ensure that information regarding your presentation is correctly listed in 50th ICAAC publications. If you are participating in more than one session, then you must reference the control number of each invitation.
Invited Faculty Abstracts/Objectives–June 25, 2010 Symposia speakers are requested to submit an abstract through ASM online submission site. Presentations and A/V Information
Speaker Guidelines - available at a later date
Advance Submission A submission site will be available for speakers to submit their presentation in advance of the meeting. The presentation will be tested by Freeman AV, the audio-visual provider, to make certain there are no compatibility issues. This will minimize any disruption during your presentation at the meeting. In August, you will receive an email from the audio-visual provider with instructions on how to submit your presentation in advance of the meeting.
You will still be required to bring a copy of your presentation to the meeting in the event that a back-up copy is needed
Presentation Information All session rooms will be networked onto the server from the Speaker Ready Room. This eliminates the need for the speaker to bring a laptop computer. Speakers will control the flow of their presentation using a mouse and confidence monitor provided at the podium.
AV Instructions – will be available shortly Even if you are an experienced presenter, please take a moment to read the AV Instructions. This document contains important information on pre-show preparation; guidelines for Apple computer users, fonts, embedded audio, pictures, and video; properly marking your Zip 100/250 disk or CD-ROM; and more.
Speaker Ready Room Speakers are requested to drop off their presentation(s) in the Speaker Ready Room of the Boston Convention and Exhibition Center, at least 24 HOURS in advance of the session start time. Professional audiovisual consultants will be in the Speaker Ready Room for assistance. Computers in the Speaker Ready Room are configured exactly like the ones in the meeting rooms. From the Speaker Ready Room, the presentations will be loaded onto the server and then uploaded to the session room.
Session Room Please visit your session room at least one half hour before the session begins. Any questions about the set up or available equipment, should be brought to the attention of the AV technician in the session room.
CME Disclosure Statement–June 25, 2010
ASM’s Disclosure of Commercial Relationship(s) Policy As a provider accredited by the Accreditation Council for Continuing Medical Education (ACCME) and the Accreditation Council for Pharmacy Education (ACPE), the ASM requires itself (i.e., the association), its staff, and oversight and planning committees (i.e., 50th ICAAC Program Committee) to disclose to all stakeholders and learners that the individual either has No Relevant Financial Relationship(s) OR has any Relevant Financial Relationship(s)1. Disclosure includes: the name of the individual, the name of the commercial interest2, and the nature of the relationship3.
1Financial relationships in any amount occurring within the past twelve (12) months that creates a personal conflict of interest. 2Commercial interest(s) producing health care goods or services or providing support (e.g., grants or in-kind support), except non-profit or government organizations and non-health care related companies. 3Financial relationships are those relationships in which the individual benefits by receiving a salary, royalty, intellectual property rights, consulting fee, honoraria, ownership interest, (e.g., stocks, stock options or other ownership interest, excluding diversified mutual funds), or other financial benefit. Financial benefits are usually associated with roles such as employment, management position, independent contractor (including contracted research), consulting, speaking and teaching, membership on advisory committees or review panels, board membership, and other activities from which remuneration is received, or expected. ACCME considers relationships of the person involved in the CME activity to include financial relationships of a spouse or partner.
ASM’s Disclosure of Relevant Financial Relationship(s) Procedures Consistent with this policy, the ASM will inform participants in the 50th ICAAC via the Online Program Planner, website, and the Final Program whether each contributor had no relevant financial relationship(s) to disclose or disclosed relevant financial relationship(s) (including the name of the individual, the name of the commercial interest[s], the nature of the relationship[s], and the value of the relationship[s]). This policy is intended to make you aware of faculty disclosure so that attendees may form independent judgments about material discussed during the 50th ICAAC.
The ASM will also:
- Instruct each contributor/presenter/faculty to provide in their audio-visuals, handouts, and/or verbally, relevant disclosure information at the beginning of their session.
- Ask participants to notify ASM staff if they have a concern (e.g., commercially-biased presentation, promotional materials distributed by presenters and/or participants, etc.) so that staff can respond immediately to their concerns.

ACCME requirements for faculty disclosure are applicable to faculty relationships that are in place at the time of the activity or were in place in the 12 months preceding the activity. Please note if you do NOT submit your disclosure and attestation information required you will NOT receive your travel reimbursement. Please be sure to provide ASM with all the required information requested in your invitation notification.

Digital Recording Form– June 25, 2010 Meeting attendees value the audiotapes of invited sessions to supplement their educational experience. In addition to tapes, ASM will have the opportunity to digitally record sessions. The recordings offer an opportunity to colleagues who could not attend the meeting, to remain abreast of current science. All invited sessions will be recorded.
Moderator/Convener Guidelines Kindly print and bring a copy of the Moderator/Convener Guidelines Form to the session in which you have been requested to moderate or convene. Experts are also requested to use the Moderator/Convener Guidelines for each respective session. Follow the guidelines and record attendance on the form. Give the form to the door monitor at the conclusion of the session. You may also leave the form on the podium to be retrieved by the door monitor. Additional forms will be available in the Program Office.
Note: Travel Reimbursement is not provided for Moderators of abstract slide sessions.
Invited Faculty Registration and Housing–August 12, 2010
All invited faculty must make their own meeting registration and housing arrangements for the conference. It is recommended that all invited faculty register as early as possible, and before the July 29 deadline for discounted preregistration and to obtain top housing availability.
Embargo Policy–September 12-15, 2010 Please be advised that it is ASM’s policy that, while presenters are allowed to communicate with the press, their discussions may not be published until after the day and time of the actual presentation. Similarly, details of an invited presentation may not be part of an Industry-Sponsored Symposium or other scientific event, unless scheduled after the day and time of the official ICAAC presentation.
Expense Report–October 15, 2010 (The form will be available in early September) All invited faculty for Symposia, Interactive Sessions, Meet-the-Expert Sessions, and State-of-the-Art Minilecturers are reimbursed for travel expenses up to $1,400 for individuals residing in North America, and up to $2,100 for individuals residing outside of North America. Reimbursement of registration fees is available to any presenter who is not a member of ASM. Kindly print and fill in the Expense Report for use when claiming meeting travel expenses. Please be sure to attach a copy of ALL itemized receipts. Expense reports must be returned to ASM within 30 days from the date on which expenses are incurred (no later than October 15, 2009). Please note that a copy of a charge slip is not considered adequate documentation for meals. The receipt detailing the food and beverage purchases is the correct receipt.
Also if you do NOT submit your disclosure and attestation information required you will NOT receive your travel reimbursement. Please be sure to provide ASM with all the required information requested in your invitation notification.
