 Information for Workshop Conveners and Faculty
 

 

WORKSHOP FORMAT

Workshops should include active participation and interaction with the audience.  Examples of some teaching approaches that encourage audience participation are: discussion groups, case histories/presentations, role-playing and laboratory activities.

Lunch will be provided to all full-day workshop participants.  A ticket will be given to participants with instructions on the day of the workshop.

WORKSHOP LOCATION

You will need to arrive at your designated room 30 - 45 minutes prior to the start of your workshop to ensure the room set up, equipment needs and handouts are satisfactory and ready for the start of your workshop.  Your workshop room assignment will be sent to you in August.

TIPS FOR POWERPOINT PREPARATION

Limit each frame to one main idea to keep it simple and easy to read.  Text should be captured in the handout.  Participants should not have to read the screen. Photos, graphs, and charts should be used to enhance or complement your presentation.  If you do use text to emphasize certain key elements, the print/font should be large enough so that it can be read from the back of a large room.  Use a dark-colored or light yellow background, rather than black or white. 

AUDIOVISUAL EQUIPMENT

ASM provides an LCD projector, computer, screen and a podium microphone as standard equipment in each workshop room.

HANDOUT MATERIALS

ASM staff reproduces and delivers all handout materials to the meeting site in support of all workshops. Sufficient copies will be made for each participant, convener and faculty.

Faculty are expected to produce camera ready material for their individual presentation and send directly to the convener.  Copies from individual faculty members will not be accepted by ASM.  All material is due to the convener no later than August 3.  Please communicate w with your convener if you need more time to deliver your materials.  He/she will then deliver the handout for your workshop to ASM no later than August 10.  The handout should be formatted as indicated below.  Because of the time required to print, bind and ship workshop books to the meeting site, material must be received at ASM by April 10.  Faculty who do not meet the deadlines are responsible for reproducing and hand carrying their material to the meeting.  ASM will not reimburse you for your expenses if you duplicate your own handouts.

To insure uniformity with all workshop handouts, please follow the guidelines below:

  • Margins should be 1" on both long sides of an 8 1/2 x 11 inch paper.
  • Font size should not be smaller than 10 point, and a font such as Arial or Times New Roman should be used.
  • All electronic files are to be sent in Power Point (.ppt) format, no files are to be sent in PDF format.
  • Majority of the handouts will be reproduced in black and white. However, if there are slides that are hard to read or need extra emphasis (for example graphs, photographs, blurred text), color print may be used.  If this is the case, please mark or label the slides that need color before you send them to the convener.
  • Cover sheets should be included with each section of the handout.  It may be as simple as a title and name.
  • All pages sent should be single sided. 
  • Please do not send handouts stapled together.  Please paper clip or rubber band the pages together.
  • Please number all pages; each section can be numbered independently. 
  • Each presenter's pages should be numbered using the initials of the presenter with the number.  For example, if David Higgins is presenting, the pages for a handout would be marked as DH1, DH2, etc.
  • All copies should be clean and camera ready.  If you have to delete a reference number, please white it out. 
  • If you are copying pages from a book or publication, and there is a black border around the page after copying, please cut and re-copy by placing a clean sheet of white paper over the cropped page. You may also enlarge the material so that it covers the full page.  This eliminates black edges, or margins, in the handouts.  The origin of the page copied should be cited.
  • If you are using information that has been faxed to you, please delete the fax information from the page. 

Conveners

  • Please include with your handouts, on a separate page titled Workshop Objectives, in bulleted format, the overall objectives of this workshop.  This will be included in the handouts for your workshop participants.
  • Please include with your handouts, on a separate page the Workshop Schedule (who, what, when) of the workshop for that day.

PROGRAM EVALUATIONS AND NEEDS ASSESSMENTS

Each workshop participant must visit E-central or go online two weeks after the meeting to complete the workshop evaluation and receive a CME record of attendance.  ASM uses this information to help maintain the quality and integrity of these programs, and to learn how successful the workshop was in meeting the stated objectives and participant goals. 

TRAVEL SUBSIDY

Travel support for full day sessions is $3000 and for half-day sessions is $1500.  Faculty members may choose to submit expenses for which they will be reimbursed to the agreed amount or request a lump sum payment (amounts in excess of $600 will be reported to the IRS).

TRAVEL ARRANGEMENTS

All faculty are responsible for their own airline and hotel arrangements.  Faculty are not required to register for the ICAAC Meeting or workshop.  In order to reserve a hotel room, please call Experient, Inc. at 800-974-3621 (outside the US: 847-940-2155) and speak to a staff member to complete your hotel registration and ICAAC registration, if applicable. You may also do this online by visiting www.icaac.org and follow the registration links.  It is strongly suggested that you register for your hotel at the earliest possible date, as rooms fill quickly.
